Please read through the information provided so we can reduce misunderstandings, you will be asked to acknowledge that you have read through and accept the terms of the following information on your registration form. Closer to the event you will be updated with a check-in, pay-your-tax, check-out location at the event.
Thank you for your interest in Snowflake Festival 2024. We are accepting retail, informational, and food truck vendors, although the layout is still in the development phase. If you are interested in becoming a vendor please fill in the registration form and we will get you on the list and contact you as soon as possible.

Business/Individual
$50.00 if you have a current City of Elko Business License.
$85.00 if you do not have a current City of Elko Business Permit.
(We will procure one for you if this is the case)
Nonprofit
$25.00
Registration & Waitlist
Please complete the online registration form and submit it to us to be added to the either the vendor line-up or waitlist – NO FORM - NO REGISTRATION OR NO WAITLIST.
If you are on the waitlist, we will contact you if there is a vacancy.
Occasionally we have very late cancellations, we will contact you directly.
Payment
Cash, Money Order or Credit Card – the payment portal is secure through Square.
Do not include payment until you have been contacted by the Elko DBA and asked to pay.
NOTE: If a method of payment is rejected, for whatever reason, you are responsible to cover the cost of all bank fees on your end and ours, as well as a $15.00 administrative fee.
Booth Location Requests
Best efforts will be made to accommodate booth location requests; however, there are no guarantees and layout may vary.
Event Map
The event itself is held in the downtown parking corridor, between 4th-6th Streets.
The event map is in development, we will distribute one as soon as we have details nailed down.
Last Minute Cancellations
All vendors are required to check-in on time & remain throughout the entire show.
If you do have to cancel, please let us know as soon as possible and we will contact another vender who may be waiting for a spot. A refund is possible, if you cancel within the week before the event or the day of the event you will have the option to receive a refund after the show or offer it as a donation to the Downtown Business Association.

Set-Up, Unloading & Parking
Set-up: Saturday, December 14th, after 8:00 am (no earlier), be ready by 11:00 am.
Unloading & Parking: Once the map is finalized, you will receive an email with further instructions.
***Vendors will receive parking permit/identifiers. Please place one on the dashboard of each of your vehicles. If there is a problem, a passerby can locate the owner by looking at the booth number.
Electricity, Water, Generators & Heaters
Neither electricity nor water are available. If needed, please plan on bringing ice, water and generator.
Retail, food retail, or activity vendors; please contact us directly with questions about personal use of generators or flammable gas or heaters on site prior to, during or after the event. Additionally, the Elko DBA, as the event promotor/coordinator/organizer is required to notify the Fire Marshall of those these items on site of the event.

Securing Tents
Elko has extreme wind gusts. Based on our area’s wind, the requirements for securing your tent and items requires heavy weights: Tent sand bags, tent pole weights, or weighted home-depot type buckets (water, sand, concrete) are required.
The straps go over the upper corners and are pulled directly down to tether, for more information please consult the City of Elko Special Event Safety Guidelines.
All vendors handling selling food (retail food and food trucks) are required to have one of the following:
Cottage Food Program License
Grower’s Permit
State of Nevada Food Permit
State of Nevada Temporary Food Permit

All sales that result in a product/dollar exchange – it does not matter if you are a not-for-profit or that you are donating your profits to a not-for-profit – are subject to retail sales tax.
***Completed Sales Tax documents and sales tax monies (check, money order or EXACT dollars/coins) are returned to the DBA Booth at the end of the event on Saturday by 5:15.
We will be accepting One-Time Return forms throughout the event if you are monthly or quarterly, with the understanding that the State of Nevada Department of Taxation requests that you indicate a total of retail sales at the end of the show and that the Elko DBA submits the form back to the State. This does not include downtown brick and mortar businesses.
Additional State of Nevada Department of Taxation Sales Tax documents will be available online closer to the show and will be available at the show.

NOTE: If a method of payment is rejected by the Nevada Department of Taxation (i.e., returned check), for whatever reason, you are responsible to pay the initial taxes and cover the cost of all bank fees on your end and ours, as well as a $15.00 administrative fee.
Crime & Security
Unfortunately, there is crime in Elko, mostly opportunistic. PLEASE secure your personal items.
If you are alone or something comes up during the event, please contact 775-777-4048 (phone/text) and we will have a show volunteer come to your booth.
In an emergency, call 911.
For non-emergencies, please call dispatch at 775-777-7300.
Clean-up & Check-out
All Vendors are required to remain until the end of the show.
At the end of the show ask yourself, did I take care of everything I needed to before I leave?
Did I submit a one-time tax return and sales tax monies?
Did I clean-up my booth and directly surrounding areas of trash, boxes, tape, zip-ties and other debris?
***There is a $50.00 fee for vendors who do not clean-up after themselves.
***Vendors who have been cited, will not be able to register for another DBA sponsored event until the fine is paid.
